This overview pertains to personal data collected about RES-Q users. For more details regarding all data types collected by RES-Q, please see the Data Ownership and Publication Guidelines. 

1. What is personal data?

The personal data that is stored in RES-Q is the data collected about each RES-Q user and their institution when they request to have an account created in RES-Q. This includes the user’s name, email address, institution name, and any other relevant institution or contact details. This data is collected and processed based on user consent, which is obtained at registration in agreeing to the terms and conditions for using the RES-Q platform.

2. How is personal data processed?

We process personal data stored in RES-Q for a few purposes:

• To manage the RES-Q platform, including providing access to various programs that use the platform, and authenticating created accounts.
• To provide support, this includes not just access, but responding to any questions or issues you encounter.
• To send you technical notices, policy updates, security information, and other administrative communications.
• To analyse and evaluate the performance of the RES-Q platform through audits and system usage research.

3. Is personal data shared with external groups (third parties)?

All personal data collected in RES-Q is stored within the St. Anne’s University Hospital Brno (FNUSA) IT Infrastructure. The RES-Q management and development teams are based at FNUSA, and only authorized users are permitted to access the stored personal data. This access is only permitted for the purposes of managing the RES-Q platform, or for activities aligned with the purposes of RES-Q. Personal data is not shared with any third party which does not have an explicit data sharing agreement with RES-Q. These data sharing agreements require that the third party has consent of the user, or another legal basis for processing the data; and that they agree to comply with all legislation and regulation that RES-Q complies with. 4. Third-party websites

The RES-Q website may occasionally provide links to external websites, which are not controlled by the RES-Q management group. If you access an external website via a link from RES-Q, we suggest that you carefully review their policies regarding processing of personal data and use of cookies for that website. Please remember that RES-Q is not responsible for the content or management of these external websites, and as such, RES-Q assumes no liability for the content of the third-party site, nor does RES-Q accept any liability for effects or consequences that result from a user accessing the third party site.

5. How is personal data kept safe?

Users’ personal data is stored within the secure hospital IT infrastructure of FNUSA which complies with all national and international regulations pertaining to data protection and privacy. Personal data is only accessible by authorized users as required to manage RES-Q. Data is secured to prevent unauthorized or accidental disclosure, processing, modification, or destruction.

6. What rights do users have?

Based on current regulations, users have many rights in terms of how their data is processed and protected. The following rights apply to all user data; users have the right to:

• Request access to any data RES-Q has or stores about them;
• Modify or correct any erroneous data;
• Request that restrictions be placed on the processing of their data or withdraw consent from specific processing;

• Request to transfer or share their data, in accordance with the right of data portability;
• Submit a complaint with legislated supervisory authorities if they feel that any of these rights have been violated, or that RES-Q is not complying with data protection regulations.

7. How can users modify or update their data?

Users can make changes to their data which is stored in RES-Q through their user profile page, which is available after they have logged into RES-Q (accessed by clicking on their user name). Users can also always contact the RES-Q team directly to make any changes, or update any details associated with their data.

8. What are cookies and how does RES-Q use them?

Cookies are small files which a website saves on a user’s local computer or mobile device when the user visits the website. Cookies allow a website to save user preferences, store session information, and avoid users needing to enter data multiple times. They can also be used to link and track user behaviour between websites where third party cookies are used. The RES-Q registry does not use any third party cookies, only session cookies. The session cookie used by the RES-Q registry only stores a user’s session ID, as well as language preference.

9. How does RES-Q handle intellectual property rights?

Intellectual property rights related to projects utilizing RES-Q are generally handled by mutual agreement with collaborating centres. However, rights pertaining to data, such as Patient Data, belong to the hospital or institution which entered the data into RES-Q. RES-Q is a collaborative effort which relies on the cooperation and mutual respect of all participating members, this includes respect for intellectual property rights. RES-Q reserves the right to suspend, or remove the access and accounts of any user/institution which repeatedly violates or infringes on intellectual property rights held by others.

10. How do users delete their account?

A RES-Q user account can be removed by the user at any time, or by the RES-Q management group under specific conditions. If a user wishes to delete their account, they can do so by contacting RES-Q directly (This email address is being protected from spambots. A RES-Q user account may also be suspended or deleted by the RES-Q management group for repeated violations of the terms and conditions of service, violations of intellectual property rights of other members, or other flagrant abuse of privileges associated with RES-Q participation. Once an account is scheduled for deletion it will be immediately disabled, preventing access to RES-Q by the user. Following this, personal data will be archived for no more than 18 months, but will only be processed for audit purposes. Patients and institutions associated with the user will however be retained. 11. Limitation of liability

RES-Q may alter this Privacy Policy at any time. RES-Q may also change the content of the RES-Q website and/or registry, or close the RES-Q website and/or registry. It is important for users to be aware of, and review updates to the Privacy Policy. Except as prohibited by law, in no event shall RES-Q or FNUSA be liable for any injury, loss, claim, damage or any special, exemplary, punitive, incidental or consequential damages of any kind, whether based in contract, tort or otherwise, which arises out of, or is any way connected with the following:

• This agreement.
• Any use of the RES-Q registry, RES-Q website, or any services provided by RES-Q.
